Workload Manager: Viewing, Filtering, & Assigning Work
Purpose/Overview
This article explains how to use Workload Manager to effectively manage your team’s workload by viewing and reassigning items and tickets by folder or user. It provides supervisors and administrators with a centralized dashboard to track task status, due dates, and assignments in one convenient location.
Key Benefits/Use Cases:
- Task Reassignment Efficiency: Easily reassign overdue or upcoming tickets and items to balance workloads and improve on-time completion rates.
- Real-Time Team Oversight: Supervisors can monitor current assignments and due dates across users and folders, helping them identify bottlenecks or gaps in coverage.
- Location-Based Work Management: Use the map and lasso tools to visually select and manage tasks based on geolocation, helping field teams stay aligned and efficient.
Things to Know:
- Permission Requirements: Only users with Admin-level access can access and configure Workload Manager settings.
- Platform Compatibility: Fully supported in modern web browsers. Some map tools may perform differently depending on screen size or browser version.
- Limitations:
Workload Summary screen configurations will not appear in the dropdown if they include any unsupported fields.
Ticket screen configuration is only available when “Tickets Only” is selected.
Accurate map filtering requires reliable GPS data.

Note: The Workload Summary view can be customized by an administrator using the Workload Manager Configurations.

How It Works:
Finding Items or Tickets
- Display Items or Tickets
First, use the filters or ticket screens at the top to focus on your particular needs.Filters Explained
Future Due time after 48 hours Past Due Items past due from now to 72 hours Past Due 72 Items past due by 72 hours or more In 4 hours Items due from now until 4 hours In 24 hours Items due between 4 hours from now to 24 hours from now In 48 hours Items due between 24 hours from now to 48 hours from now
You can also search for a specific person or folder using the options in the left-hand column. Select Items or Tickets
Once items or tickets appear in the main window or map, choose the ones you want to take action on. There are a few ways to do this:Click the checkbox next to an item or ticket in the list. This will display more details in the text box in the lower right corner.
Click a pin on the map to select an item or ticket by location. Its details will appear in the lower right text box.
Use the Lasso tool to draw around multiple pins on the map and select several at once.
Take Action
Once selected, you can reassign or move items/tickets using the available options.
Columns & Sorting
Columns reflect data depending on your configuration:
- Items only or Items and Tickets use the default columns: Address, Assigned to, City, Creation Time, D (Due time), Due Time (deadline for completing the item), Folder, Item Number, Item Type, and State.
Tickets only: Columns are based on the selected ticket screen.
Click any column header to sort the list by that data field.
Map & Layer Tools
Use the interactive map to visualize and interact with work locations:

Zoom in/Zoom Out +/- | Click Zoom in (+) and Zoom Out (-) to increase or decrease the details shown on the map |
Measure Distance![]() | Click the Ruler icon and then click on 2 points on the map to get the distance. Turn off the ruler by clicking the icon again. |
Zoom to a Specific Area![]() | Click the Zoom to a Specific Area Icon. Click the map and drag to draw a zoom area. The map zooms to the area you drew. Turn off the Zoom to Specific Area by clicking the icon again. |
Map Layer Information![]() | For information about a specific point, click the Map Layer Information icon, and click on a point on the map. The Layer Information and General Information display on separate tabs, if available for that point. General Information includes facility locations and responsibility areas. |
Dialog![]() | For information about a specific point, click the dialog icon and put the cursor on a point on the map. General Information displays in a pop-up window, if available for that point. General Information includes facility locations and responsibility areas (This is the same General Information that appears in the Map Layer Information feature, above). If the map definition is linked to a ticket, additional layer information may be available. |
Lasso![]() | To select multiple pins, click the Lasso icon and draw a line around the pins you want to select. The pins turn blue (identifying that they are selected) and the items/tickets are selected in the main window |

Use Layer Picker to toggle Street, Satellite, or custom GIS layers
Text Preview & Actions
The lower-right corner displays the full text of the currently selected item or ticket.
Available actions (for eligible tickets) are Clear, Dispatch, and Review.
Incompatible Fields with Workload Manager Screen Configurations
Some fields are not compatible with the Workload Manager's screen configurations. If any of these fields are included in a screen configuration, that configuration will not appear in the Workload Manager screen configuration dropdown.
Incompatible Fields Include:
Attachment fields
Multi-select List fields
Repeatable Sections
Rich Text (multi-line text with formatting)
Signature fields
Sketch or Drawing fields
Tab containers (nested UI components)
Note: To ensure a screen configuration appears in the dropdown, use only compatible field types like standard text, dropdowns, dates, numbers, and single-line comments.
Tips for Optimizing Workload Summary Use
Configure screen layouts thoughtfully to match your workflow
- Use filters to focus on immediate or overdue work
- Regularly refresh the screen to update folder/user status
- Use lasso and map layers to make spatially aware decisions
